Sundridge Sunflower Festival Rules and Regulations
The Sundridge Sunflower Festival Committee is not responsible for any loss or damage caused to, or by, an Exhibitor/Vendor or the Public. The Exhibitor/Vendor will assume full responsibility and liability for all items comprising his or her exhibit, including the safety of the Public.
Vendors with food or food products are required to provide a current copy of the Requirements for Temporary Food Premises Operating Special Events Form and/or the Special Event Farmers Market and Market Form at their booth.
Should the Exhibitor/Vendor cancel his or her agreement to rent, the rental payment will be considered a donation. Refunds for cancellations will only be given on a case-by-case basis, please contact [email protected] regarding your situation.
The Village of Sundridge / Emergency Management Authority can enforce a cancellation at any time before or during the event. This is an assumed risk, due to the nature of this outdoor event. No refund will be given.
The Exhibitor/Vendor will leave his or her booth set up until the end of the festival at 4pm. Should the festival extend into the evening (e.g., for a dance or other activity), only those Exhibitors/Vendors who have been given explicit permission are allowed to keep their booth set up.
The Exhibitor/Vendor must stay within their assigned space and leave the front clear. Each assigned site is approximately 10’ x 10’. Should a larger site be required, registration, and their accompanying fees, for each site must be made.
No articles prohibited by law may be sold. These include, but are not limited to, drugs, pornography, liquor, tobacco, firearms, etc.
Ontario Sales Tax and Goods and Services Tax are the responsibility of the Exhibitor/Vendor.
Site assignments will be provided to you at the discretion of, and with the final decision of location made by, the Sundridge Sunflower Festival Committee. Every effort will be made to provide a map outlining the site’s locations; however, this is not guaranteed. A Sundridge Sunflower Festival Committee Member will be on hand to assist you in finding your assigned site on the day of the event. If you take another person’s site, you will be asked to leave.
Each Exhibitor/Vendor is expected to always be present at his/her booth. We are not responsible for any lost or damaged items.
Exhibitors/Vendors are expected to supply their own tents, chairs, tables, extension cords, generators, assistants to set up/tear down/retrieve refreshments or supplies, etc. Exhibitors/Vendors are expected to ensure tents and all equipment are safely secured so as not to blow over or fall down. You will be held liable for any damage incurred due to unsafe equipment. Weights are required - if you do not have weights for your tent you will be asked to get some to take down your tent.
By completing this form you are expressing your interest in being a vendor at this years Sundridge Sunflower Festival. To ensure a good cross selection of products and services, the Sundridge Sunflower Festival Committee reserves the right to chose who is allocated space. Please DO NOT send payment until your vendor registration is approved via email by the committee.
Vendor's that get accepted must be able to provide proof of insurance. This will be required for the 2026 festival.
